File Transfer and Secure Document Management

Traditionally, accountants relied primarily on time-consuming strategies such as mail, and pickup and delivery services as a means of exchanging documents with clients. However, as technology advanced, accountants began using email and computer-to-computer transfers. Even those more efficient strategies, while a vast improvement, have their limitations. Email often limits the ability to send large files, is not secure and requires file management. Computer-to-computer transfers require dedicated computers in both the client and the accountant's office - a significant drawback to a firm with multiple clients.

File transfer through the use of scanners has revolutionized the transfer of documents. Scanners make it possible to quickly and efficiently convert paper documents to electronic files, allowing for their transfer within a secure electronic environment to any other computer in the world in minutes.

TADTechnology's Online Accounting Management System is a sophisticated network of computers and technologies that are managed and upgraded continuously. Our system assures secure, personalized access to the accounting work carried out by the accounting firm. The administrator for each firm's account has the ability to create, customize and manage client and employee/team member home pages. These home pages provide secure access to uploading and downloading of files and communication between the accountant and his or her staff, and the client. Electronic files can be uploaded and shared on our secure servers, or downloaded to your local computer for printing using our secure file transfer technology.

Secure file transfer through uploading is the process of sending electronic source document files from the client to the accountant via the TADTechnology System. Any type of electronic file can be uploaded using the TADTechnology System including source document scans, Excel worksheets, PDF files and accounting data backups.

TADTechnology has developed a proprietary Internet Upload Application (I-UA) for easy one-click uploads. Once I-UA is installed and set-up on the client's computer (about a five minute process), the client drags the electronic file they want to transfer onto the I-UA icon and the file transfer process completes automatically. I-UA may be downloaded and installed on as many computers as needed and comes free with all accounts.

File transfer without the IUA is performed using the TADTechnology upload browser available on all Secure Home Pages. This allows your client and team members to securely transfer files from any computer, regardless if the I-UA is installed.

When files are uploaded an e-mail notification is automatically sent to the designated recipient immediately informing them that a new file transfer has been completed.

Secure File Transfer - Downloading

File transfer downloading is the process of viewing, printing or saving files from the TADTechnology system to a local computer. To download files, clients sign into their Secure Client Home Page and click on the Accounting Files tab. There they will find a list of all files uploaded by team members for their attention. New files are easily identifiable by green arrows and all files list pertinent data such as file name, date and time created and when the file was last opened. Most files can be viewed or printed from the web browser and/or saved to the client's computer. Files can be deleted anytime by clicking on the delete button next to the file.

Employees can view uploaded files by signing into their Secure Team Members Home Page. Team members only have access to files for those clients to whom they are assigned.

Secure Client and Team Member Home Page Management

TADTechnology's Secure Client Home Pages are a centralized location where team members and clients can securely exchange files.

Each secure home page is unique to the client or team member and can be customized with:

• Your accounting firm's company logo
• A personalized greeting for clients
• A team page with pictures of assigned accounting team members
• Accounting team members' contact information
• A customizable directory structure for their uploaded and downloadable files
• Extensive help documentation

Accounting firm administrators also have the ability to post messages for clients and team members on their secure home pages.

Team members also receive individual secure team member pages. Secure file transfer and electronic document management utilities are the key to a successful online accounting practice. Using the administrative features of the site, the accountant can designate which client's files are assigned to which team members. Team members only have access to those clients to which they are assigned.
